Emails Settings

To make sure your emails work and continue to work please make sure your emails are set up as follows:

Incoming and outgoing mail servers:
mail.domainname.co.za (replace the example domain name with YOUR own domain)

Username format:
Full email address (if the + sign is used replace with @ sign in the email address)

SMTP Authentication: (means a username & password is also used for sending emails)
Out going server must be authenticated (in MS Outlook > email settings > more settings > outgoing server tab)

Ports to be used:
Ports will vary depending on email set up, please read carefully:
Incoming port (POP), no SSL encryption: 110
Incoming port (POP), with SSL encryption: 995
Incoming port (IMAP), no SSL encryption: 143
Incoming port (IMAP), with SSL encryption: 993
Outgoing port, with SSL encryption: 465
Outgoing port, no SSL encryption: 587 or 25

Unsure: POP setting, no SSL, ports 110 in & 25 out.

Recommended Email set up:
On your main device set up as POP account, on secondary devices set up as IMAP
POP - downloads the email and the IMAP - syncs with what’s on the server email accounts inbox

Main device POP port settings:
Incoming port (POP), no SSL encryption: 110
Outgoing port, no SSL encryption: 587

Recommend setting emails to delete off the server after 21 days.
In Outlook: Email settings >> More settings >> Advanced tab >> delete off server settings
Secondary device/s IMAP port settings:
Incoming port (IMAP), no SSL encryption: 143
Outgoing port, no SSL encryption: 587

Additional Notes:
Setting up an email account may differ from ISP to ISP as they may disallow some port settings.
Some ISP's prefer port 25 for outgoing while others use 587, so if your email set up does not work,
try changing the settings/ports as recommended.
Using encryption will slow your emails, encryption is used for the regular transfer of confidential
info such as credit card numbers. Encryption is only while the email is in transit.

Most common errors:
- SMTP not authenticated
- user-name format incorrect
- mail server incorrect
- spelling mistakes
